Re:   Catalina 34 International Association Year 2016 Annual Officers Meeting

Dear Catalina 34 International Association Members, Officers and Board Members;

The Annual Meeting of the Catalina 34 International Association Officers was held via telephone conference call on Tuesday, March 8, 2016, 8:00 P.M. Eastern Standard Time, 5:00 P.M. Pacific Standard Time.  The meeting concluded at 9:50 p.m. EST.

The 2016 International Officers are listed after these meeting notes.  Participants in this teleconference included Rick Allen, Sue Clancy, Jack Hutteball, John Nixon, Stu Jackson, Ray Irvine and Ken Heyman.  Dave Sanner, and Past Commodores Paul Erb, Lance Jones, Ken Juul, Michael Shaner and Dave Davis were absent.

Also present were Fleet Captains Dottie Toney (Fleet 13) and Bob Schuldenfrei (Fleet 14).

The meeting was based on the emailed agenda, dated Wednesday, March 2, 2016.

MEETING NOTES

1.   Financial Report & Projections – Treasurer Ken Heyman
a.   Cash is approximately $11.9K down from the $15.1k in 2015, $12.7K reported in March of 2014 and $20.7K in March 2013 (as of December 31 the prior year).
b.   Statement and projections accepted as presented.
c.   Motion made and passed to not institute a dividend for 2016 and to look at it every year as a method for keeping the balance to a reasonable amount.  [Dividend is defined as a free year of membership.]
d.   Ken noted that PayPal constitutes almost half of the total dues, indicating the success of using PayPal.
2.   Membership – Secretary Stu Jackson
a.   525 members of which 28 are C355s, 553 total C34 IA members;  down from 2015 figures of 594 members of which 32 are C355s, 562 C34s; down from 2014 figures of 639 members of which 41 are C355s, 588 C34 skippers; 2013 figure of 560 members, of which 28 were C355 skippers, 532 C34 skippers.
1)   John asked if there was any way to determine how many were Mark I or Mark II boats.  Stu advised that a review of the File Maker Pro database could be made based on hull #s.  Stu to review and send the statistics by email.
2)   Bob observed that the website is the best recruiting tool.
3.   Mainsheet magazine electronic distribution by PDF: Comments on PDF example  (Please see 2014 and 2015 Meeting Notes for detailed prior discussion items)
a.   Issues discussed:
1)   Ken Kloeber’s email to Stu discussed the “key” to figuring out the Mainsheet password system.
2)   PDF copies are available to all members, once the hardcopy is received, since the password is included on page 3 or 4 of each issue.
3)   Presenting Options to Membership:  Group agreed that a thread should be started on the Forum with a “Did you know that…?” message.  Stu to do.
4.   Website:
a.   Tech Notes Online Update
1)   Sue did a superb job in updating the TNOs, with help from Jack and John.  She also improved the presentation by keeping the years on each index page to allow moving around between articles much easier.
2)   The procedure for updating the TNOs will be for Jack (Association Editor) to send the new articles to Sue (now VC) for posting, and posting will only be done after the hard copy of Mainsheet is distributed.  The reason for the delay is a courtesy to the publisher, who in times past would never include any material in the magazine that had been previously published.  These were pre-internet days.
b.   List of Website Administrators – Stu will develop and recommend any modifications.

5.   National Regatta
a.   Ray reported that Fleet 1 declined for this year.  Consideration for next year may be possible.  As previously noted, the IA will support Fleet 1 if they were to choose to hold a National Regatta.
6.   Fleets
a.   C Rick Allen has transferred the Fleet Formation Package to VC Sue Clancy.  Bob noted that the package was very helpful for Fleet 14 when they started.  Bob thanked Dottie for her help when Fleet 14 got started.
b.   Mainsheet magazine and [lack of] Fleet information (no list of fleets or contacts, no content). Should this Association comment formally to the publisher?
1)   Dottie advised that “members of Fleet 13 were livid” when the publisher discontinued fleet news in the magazine.  She reported that many of their members expressed no interest in Mainsheet without fleet information.
2)   Stu noted that the magazine had even removed the information necessary to contact fleet captains.
3)   Issues include the publisher’s repeated editorials regarding “Fleet support” while at the same time eliminating all information from and about fleets because of his mistaken assumption that the information is old or available elsewhere; not every Fleet has its own website.  Rick noted that publications rely on advertisers and subscriptions and that fleet members may well be just a small percentage of the total number of magazines that the publisher has to consider.
4)   Motion made and passed:  Stu to draft a letter to the publisher for review and comments.
c.   Deletion of Fleet 8 – Mike Smith has disappeared
1)   No objections to discontinuing Fleet 8.
7.   CD-ROM status & updates
a.   Discussed and motion made and passed to discontinue distributing CD-ROMs.  Technology is old and new computers do not even have drives for CDs.
8.   C355
a.   Discussed and motion made and passed for Stu to draft a letter to the C355 group suggesting that they assume full responsibility for their own Association.
9.   Fleet Support
a.   Motion made, seconded and passed to extend Fleet Support for $10 per boat as of April 1st with those fleets that choose not to accept OK, requires a discussion and a motion for renewal every year.
10.   C34 Website Database – An extended and useful discussion took place that began with the Database on the website, which had been prompted by a recent personal message on the Forum to Stu from an IA member, the text of which was included in the agenda.
a.   Stu noted that the original (“old”) Database was static and required the skippers to submit their input to an associate webmaster who then posted it.  This was because of the old html formatting and passwords for access to the website which was not interactive.   Sue noted in her experience that when she got her new boat it was one of the first places she went.  Many agreed, but Stu noted that it was “a place where questions went to die,” because of the non-interactive nature of the old Database.  A review of the messages in it show that a lot of questions were written, but no answers were ever forthcoming.  This was, of course, prior to the establishment of the Forum/Message Board in 2001.
b.   Stu noted that the old Database had been replaced by a newer one when the wiki was initiated (in late 2008/early 2009).  The old Database was mothballed but remains on the site.  He noted also that there are now two “Databases” and the Home Page needs to be corrected to at least distinguish between the old & new versions.  The old one says that it is no longer maintained.  The new one appears to have issues with content and the length or quantity of information that it can accept.
c.   All agreed it was a useful tool and helpful to new owners, since many of us “went there first” when we discovered the website.  Sue noted that the goal should be to have a better way to manage the Database and have the users do it all themselves.
11.   Conference Call provider – Sue
a.   Sue suggested we consider using the free teleconferencing at www.freeconferencecall.com
b.   We’ll use it for the Site Improvement Committee and see how it goes, and report back to the Officers.
12.   Fleets on the Forum – Sue
a.   Sue pointed out the link on the Home Page to Fleets and noted that it is different than the Fleets on the Forum software of the site under General Activities.
b.   She pointed out that the technology on the website, outside the Forum, is ancient and has evolved over the course of the many years the site has been around.  She recommended newer technology be employed to allow more people to manage the content, like Word Press.  She reported that she’s had discussions with Dave who agrees with the concepts.
13.   NEW Site Improvement Committee
a.   As a result of the discussion about the Database and the Fleets on the website, we agreed that it would be appropriate to continue to examine the possibilities of improving the website.  Accordingly, this new committee was established with Sue, Rick and Stu.
b.   Issues that would be part of their work would include the Home Page, appropriate technology upgrades, ease of use, ease of searching for information, and officers email contacts.
c.   The goal would be to maintain the content by improving the experience for users.
d.   Points were made to avoid massive changes (that haunted another association’s website  a year or so ago) and to continue to provide the information that so many of our skippers and visitors to the site find so useful.
e.   Rick noted that it is important for us, who are so used to the site, to be able to “see if from a new skipper’s” perspective to allow them to get engaged.
f.      The Committee will meet and report regularly back to the Officers and Fleet Captains.

Editorial Comment from Stu:
Fleet Captains Dottie Toney and Bob Schuldenfrei (13 & 14) joined in this meeting as non-voting guests.  While it had not occurred to me before, I recommend that Fleet Captains be invited to join in all future Officers Meetings.  Their contributions were extremely valuable and their perspectives were vital to the discussions.

The Annual Meeting of the Catalina 34 International Association Officers was held via telephone conference call on Monday, February 16, 2015, 8:00 P.M. Eastern Standard Time, 5:00 P.M. Pacific Standard Time.  The meeting concluded at 10:15 p.m. EST.

The 2015 International Officers are listed after these meeting notes.  Participants in this teleconference included Paul Erb, Jack Hutteball, John Nixon, Stu Jackson, and Ken Heyman. Rick Allen, Dave Sanner, and participating Past Commodores Lance Jones, Ken Juul, Michael Shaner and Dave Davis were absent.  Ken Juul provided his written observations on the agenda items prior to the meeting.

1.   Financial Report & Projections – Treasurer Ken Heyman
a.   Cash is approximately $15.1k up from the $12.7K reported in March of 2014 and $20.7K in March 2013 (as of December 31 the prior year).
b.   Statement and projections accepted as presented.
c.   Motion made and passed to not institute a dividend for 2015 and to look at it every year as a method for keeping the balance to a reasonable amount.
d.   Discussion included consideration of reducing dues.  Downside of that is that Mainsheet costs stay the same and dues reduction could eventually entail raising them later.

a.   594 members of which 32 are C355s, 562 C34s; down from 2014 figures of 639 members of which 41 are C355s, 588 C34 skippers; up from 2013 figure of 560 members, of which 28 were C355 skippers, 532 C34 skippers.
b.   Mainsheet magazine electronic distribution by PDF; Comments on PDF example  (Please see 2014 Meeting Notes for detailed prior discussion items)
1)   Issues discussed:
a)   Advantages of having both hard copy AND a PDF version is good for when traveling and a record after the hard copy is discarded; avoids having to save hard copies
b)   PDFs may be searchable but only per issue; possibility of merging into longer PDFs for searching; C34 Forum and website is easier to search for information
c)   PDF Distribution & Email Addresses:  John reported that he had emailed the Mainsheet publisher asking about the details of the PDF access as reported in the Spring 2015 Mainsheet issue Editor’s Barque.  It appears that the “distribution model” for an electronic issue has not been completely thought through by the publisher.  In commercial business magazine distribution  models, the publisher is the “gatekeeper” of the accounts and email addresses of the recipients.  In the Catalina/Mainsheet model, the publisher has no responsibility for records of membership and emails; each Association reports membership either by or through Nanosec (Lu Ann Smith), but emails have never been part of that Mainsheet mailing list process.  If PDF distribution was to be done based on the current Association membership mailing list method via Nanosec, it would place a previously non-existent burden on the Association(s) to maintain up-to-date email addresses of members, which in the commercial world is the responsibility of the individual member/subscriber to advise the publisher of their current email addresses and any changes.
d)   PDF Costs:  Agreed that most recent emails from the Mainsheet publisher made it clear that costs would remain the same for either print-only, PDF-only or both.
2)   Presenting Options to Membership:  If C34 IA members inquire, the reality is that the system is still in the works at Mainsheet, we are waiting to hear back from Mainsheet, and will report to membership as soon as possible.

3.   Website:
a.   Tech Notes Online Update
1)   Paul will check again with Dave.  Stu & John will check their files to determine the extent of the work that Roger Blake and Fred Koehlmann had done two years ago on updating the Mainsheet Tech Notes from the original material with John’s help.  Jack reported that he also had original Tech Note files back to when he began as editor in 2009.
b.   List of Website Administrators – Stu will develop and recommend any modifications.
c.   Home Page Editing – deferred, not critical.

4.   National Regatta
a.   Absent any Fleet 1 representation in this particular meeting, the IA will support Fleet 1 if they were to choose to hold a National Regatta.

5.   Fleets
a.   No report, no new activity.

6.   CD-ROM status & updates – Stu – using now discontinued updates from Bob Kuba
a.   Stu will continue to send CDs to new members.  Revisit next year to determine if CDs are still worth sending to new members.

7.   C355
a.   Little change from last year, again.  No technical material has been produced by C355 skippers.  Stu will contact the leaders of the C355 Google group to ask them what direction they envision for their future and report back to the Officers.

The Annual Meeting of the Catalina 34 International Association Officers was held via telephone conference call on Tuesday, March 18, 2014, 8:00 P.M. Eastern Standard Time, 5:00 P.M. Pacific Standard Time.  The meeting concluded at 9:30 p.m. EST.

The 2014 International Officers are listed after these meeting.  Participants in this teleconference included Paul Erb, Rick Allen, John Nixon, Stu Jackson, Ken Heyman, and Ray Irvine.   Ron Hill, Jack Hutteball, Dave Sanner, and Past Commodores Lance Jones, Ken Juul, Jon Arck, Dave Davis, Bob Kuba, and Michael Shaner were absent.

The meeting was based on the emailed revised agenda, dated March 7, 2014.

MEETING NOTES

1.   Financial Report & Projections – Treasurer Ken Heyman
a.   Cash is approximately $12.7K.  The dividend offered for 2013 was successful in reducing the balance by approximately $7,000 from last year’s $20K balance, as projected.
b.   Statement and projections accepted as presented.
c.   Motion made and passed to discontinue the dividend for 2014 and to look at it every year as a method for keeping the balance to a reasonable amount.

2.   Membership – Secretary Stu Jackson
a.   639 members of which 41 are C355s, 588 C34 skippers, up from last year of 560 members, of which 28 were C355 skippers, 532 C34 skippers.
b.   Mainsheet magazine PDF version now available from Mainsheet via Nanosec
1)   Issues discussed:  PDF is cumbersome compared to newer “magazine style” software; either/or print or PDF is limiting; electronic copies are helpful for storage and retrieval; electronic copies are cumbersome for storage space; C34 material is available on the website; skippers like the hard copy for coffeetable, reading elsewhere without computer/tablet; no preview or evaluation of this new PDF version makes the C34 Association the middleman for an untested product if members do not like the material or presentation; cost savings on actual publication by Mainsheet may not be provided by publisher
2)   To Do:  Paul will talk to Lu Ann at Nanosec to discuss issues including use, passwords, how does it work, costs and future plans for hard copies before we discuss with IA members.

3.   Website:
a.   Tech Notes Online – Stu repeated the work that Roger Blake and Fred Koehlmann had done last year on updating the Mainsheet Tech Notes from the original material with John Nixon’s help.  Those are ready to post on the Tech Notes Online.
b.   A list of Forum/Message Board “Administrators” should be developed.  Fleet Captains or their designated alternates should be administrators of the Message Board Fleet sections.
c.   Redesign work is needed on the Main Home page of the website.
d.   Paul will get in touch with Dave to address these issues.  Stu will forward Dave’s recent email to Paul.  A procedure needs to be developed to forward Tech Notes material from the Tech Editor to the webmaster for posting to Tech Notes Online on a regular basis to keep the TNOs up to date.

4.   National Regatta
a.   None planned for this year.  Ray noted that the San Francisco Cup could be offered as the Regatta.  Reconsider for next year.

5.   Fleets
a.   New Fleet 14 was successfully formed in southeast Florida by Robert Schuldenfrei, Acting Fleet Captain (Esprit du Vent, #422).
b.   Commodore Paul Erb will forward the Fleet Formation package to new Vice Commodore Rick Allen.

6.   CD-ROM status & updates – Stu – using now discontinued updates from Bob Kuba
a.   Last year we agreed that continuity of the CD was valuable and would be a good thing to have on the boat.  New thoughts this year is that wireless communication has largely replaced the use of CDs and that tablets and smart phones cannot employ CDs.
b.   Stu will continue to send CDs to new members.  Revisit next year to determine if CDs are still worth sending to new members.

7.   C355
a.   Little change from last year.  Stu advised that he sends Diane & Ed Walters the C355 roster on a quarterly basis. He noted that he had asked them for technical contributions for Mainsheet to begin to help them create their own identity; they were non-committal, only one C355 skipper seems to have developed enough material and expressed any interest.  No further action required.  Fewer C355 renewals (41 active of 100 boats produced are from new boats).  No need to change Mainsheet masthead to include C355, since no technical material has been produced by C355 skippers.

8.   Maine Sail website support
a.   An IA member wrote to Stu suggesting a one time financial support to this frequent contributor to the message board.  Discussion included:  not an Association member; financial support unwarranted for a volunteer organization, many of our  members contribute as much if not more; sets bad precedent; Maine Sail contributes to many other forums not just ours; contributions should come from individuals not the Association.
b.   Conclusion:  Stu to prepare and post a sticky on the Main Message Board suggesting that individuals who use Maine Sail’s website and value his contributions on our Forum contribute to his website directly.

9.   Fleet Support

2013 Officers Meeting Notes

March 28, 2103

Re:   Catalina 34 International Association Year 2013 Annual Officers Meeting

Dear Catalina 34 International Association Members, Officers and Board Members;

The Annual Meeting of the Catalina 34 International Association Officers was held via telephone conference call on Wednesday, March 6, 2013, 8:00 P.M. Eastern Standard Time, 5:00 P.M. Pacific Standard Time.  The meeting concluded at 9:55 p.m. EST.

The 2013 International Officers are listed after these meeting.  Participants in this teleconference included Lance Jones, Paul Erb, Ken Juul, Jack Hutteball, Jon Arck, Stu Jackson, Ken Heyman, Ray Irvine, and Ron Hill.   Dave Sanner, Dave Davis, Bob Kuba, John Nixon, and Michael Shaner were absent.

The meeting was based on the emailed agenda, dated February 23, 2013.

MEETING NOTES

1.   Financial Report & Projections – Treasurer Ken Heyman
a.   Cash is approximately $20.5K.  Projections for 2014 indicate another gain of $2,550 with decreasing membership and somewhat reduced expenses, compared to gains of  $2,400 last year and $1K in 2011.  Cash balance continues to grow.
b.   Statement and projections accepted as presented.
c.   The steadily increasing bank balance is a cause for concern.  Discussed as early as 2006, the Officers felt that only a half year worth of reserves was required as a minimum balance, which would be around $7K.  We discussed different methods of utilizing this balance.  Stu made a motion, seconded by Ray: “In order to reduce the bank balance, extend existing membership free for one year, add a notice that instead of renewal requests this one time dividend was being provided.  The Officers Meeting Notes, the Message Board and Mainsheet would also be used to advise membership of this bonus.”  Motion passed, no opposition.
1)   Stu will compose a draft of the language to be sent to membership in lieu of renewal notices for review by the Officers.  The idea is to send these notices to each quarter renewal candidates to advise them of this additional benefit in case they don’t actively participate on the Message Board.  The Mainsheet has its own built-in delay factor.
2.   Membership – Secretary Stu Jackson
a.   560 members, of which 28 are C355 skippers, 532 C34 skippers.  This is down from the 640 C34 skippers in 2011, steady reduction since a high of 730 in 2004 and the drop to the mid-600’s three or four years ago.
3.   Website:  Tech Notes Online & wikis, spam issues
a.   Stu reported that Roger Blake and Fred Koehlmann have done great work on updating the Mainsheet Tech Notes from the original material with John Nixon’s help.  Those are ready to post on the Tech Notes Online.  Stu will encourage Dave Sanner to post that material.
b.   Ron Hill requested that spell check be replaced on the Message Board.
c.   A list of Forum/Message Board “Administrators” should be developed.  Fleet Captains or their designated alternates should be administrators of the Message Board Fleet sections.
d.   Redesign work is needed on the Main Home page of the website.  A list should be developed to note the work required.
4.   Facebook – promotion for website
a.   Lance reported that the Facebook page statistics indicate:  109 likes, 94 US, 9 Canada, 2 Australian, one each from the Netherlands, Turkey and Hong Kong, with 22,000 hits per month, lots of women (50%).  He noted that it creates a dialog, directs folks to the website for technical information.  Facebook is easy to add pictures and sound files, is good publicity for the C34 IA.  No decrease seen to participation on the message board.  Ken Juul noted that the cruising wiki is also available.
5.   National Regatta
a.   None planned for this year.
6.   Fleets
a.   New Fleet 14 being formed in southeast Florida by Robert Schuldenfrei, Acting Fleet Captain (Esprit du Vent, #422).  Vice Commodore Paul Erb will follow with the Fleet Formation package and any other assistance required.
7.   CD-ROM status & updates – Stu – using updates from Bob Kuba
a.   Discussion regarding the appeal of the CD-ROM now that technology has enabled skippers to have online material available on their boats with wifi, cell phones and tablets.  Noted that the original intent of the CD-ROM was to enable skippers to have the technical material on the CD available when they were on their boats with their laptops, pre-wifi.  Agreed that continuity of the CD was valuable and would be a good thing to have on the boat.
b.   Ken Heyman will ask Bob Kuba if he wants to add anything or continue to update the CD which Stu then copies for new C34IA members.
8.   Tech Editor
a.   No report.
9.   C355
a.   Stu advised that he sends Diane & Ed Walters the C355 roster on a quarterly basis. He noted that he recently asked them for technical contributions for Mainsheet to begin to help them create their own identity; they were non-committal.  No further action required.  Fewer C355 renewals (28 active of 60 boats produced).
10.   Associate Memberships – little support in 2011, delete.
11.   Fleet Support
a.   Motion made, seconded and passed to extend Fleet Support for $10 per boat as of April 1st with those fleets that choose not to accept OK, requires a discussion and a motion for renewal every year.
